Scope and who we are

This Privacy Policy explains how FACTn Software handles personal data when you visit factnsoftware.com, contact us, book a meeting, apply for a role, or otherwise interact with our website.

FACTn Software operates through affiliated entities. The entity named in your proposal, employment communication, or signed agreement is responsible for information connected with that relationship. For general website privacy questions, contact us using the details below.

Personal data we collect

Depending on how you interact with us, we may collect:

  • Contact and business information: name, email address, telephone number, company, job title, and country.
  • Enquiry and recruitment information: messages, project details, meeting information, CVs, portfolios, and other information you choose to provide.
  • Technical and usage information: IP address, approximate location, device and browser details, pages viewed, referral source, clicks, scrolling, and session diagnostics.
  • Preference information: accessibility choices saved in your browser and choices made through any available consent tools.

Please do not send sensitive personal data unless it is necessary and we have specifically requested it.

How we collect personal data

We collect information:

  • directly from you when you email us or submit an enquiry;
  • when you schedule a meeting through Cal.com;
  • automatically through analytics and website technologies; and
  • from business sources where appropriate, such as your employer's website, public professional profiles, or B2B information providers.

The contact form on this website opens an email addressed to FACTn Software. Your email provider processes that message before it reaches us.

How and why we use personal data

We use personal data to:

  • respond to enquiries and arrange introductory calls;
  • prepare proposals and take steps toward a service agreement;
  • manage client, supplier, partner, and recruitment relationships;
  • operate, secure, troubleshoot, and improve the website;
  • understand business interest in our services;
  • protect our rights and prevent misuse; and
  • meet legal, tax, accounting, and regulatory obligations.

Where applicable law requires a legal basis, we rely on your consent, steps requested before entering a contract, performance of a contract, compliance with legal obligations, and our legitimate interests in operating and improving a business-to-business website and responding to prospective clients.

Analytics and third-party services

The website currently uses or links to the following services:

  • Microsoft Clarity provides website analytics and session insights. It may process device, usage, interaction, and diagnostic information. Privacy-sensitive form fields are intended to be masked. Read the Microsoft Privacy Statement.
  • Leadfeeder (Dealfront) helps us understand which businesses visit the website using technical data such as IP address and browsing activity. Read the Leadfeeder Privacy Notice.
  • Cal.com processes information you provide when you choose to schedule a meeting. Read the Cal.com Privacy Policy.
  • AI and social links may take you to ChatGPT, Claude, Perplexity, LinkedIn, or Facebook. Those providers receive data when you choose to follow a link and use their service.

Third-party providers process information under their own notices and, where they act for us, under applicable contractual safeguards.

Cookies and browser storage

Analytics providers may use cookies, pixels, or similar identifiers to distinguish visits and understand website use. You can delete or block cookies through your browser, although parts of the website may not work as intended.

The accessibility widget stores your selected display preferences in local browser storage under the key “factn-accessibility-settings.” This information remains on your device and lets the website remember your preferences.

When we share personal data

We may share personal data with:

  • FACTn Software affiliates and team members who need it;
  • service providers supporting hosting, email, scheduling, analytics, security, finance, and business operations;
  • professional advisers, auditors, insurers, and legal counsel;
  • a buyer, investor, or successor involved in a corporate transaction; and
  • courts, regulators, law enforcement, or others where required by law or necessary to protect legal rights.

We do not sell personal data for money. Some laws define certain analytics or advertising disclosures as a “sale” or “sharing” even when no money is exchanged; you may contact us about rights that apply in your location.

International data transfers

FACTn Software works internationally, and our providers may process data in countries other than your own. Where required, we use appropriate contractual or legal safeguards for international transfers. Privacy laws and levels of protection may differ between countries.

How long we keep personal data

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including relationship management, recruitment, security, record-keeping, and legal requirements. The period varies according to the type of information and whether a business or employment relationship develops. We then delete or anonymise it unless the law requires longer retention.

Data security

We use reasonable technical and organisational measures designed to protect personal data against accidental loss, misuse, unauthorised access, alteration, or disclosure. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.

Your privacy rights

Depending on where you live, you may have rights to request access, correction, deletion, restriction, objection, or portability of your personal data; withdraw consent; or complain to a data protection authority. You may also have rights concerning certain sales, sharing, or targeted advertising activities.

To make a request, email info@factnsoftware.com. We may need to verify your identity and may retain information needed to document or comply with the request. You can also contact the relevant third-party provider directly about data it controls.

Children's privacy

This business website is not directed to children, and we do not knowingly collect personal data from children through it. If you believe a child has provided personal data to us, contact us so we can review and delete it where appropriate.

Changes to this policy

We may update this policy when our website, providers, or legal obligations change. We will publish the revised version here and update the date at the top of the page.
